A master key hierarchy usually has three layers. At the bottom, an individual change key opens one door or a small keyed-alike group for the person who needs it. In the middle, a sub-master opens a defined group, such as every door on a floor or in a department. At the top, a single master opens the whole set and is kept to a short list of people. Master key system design is the process of deciding where those layers sit for a particular business, choosing hardware that can support them, and cutting and testing the keys so each layer works exactly as planned, no more and no less.

    Where a sub-master genuinely earns its place

    Not every group of doors needs its own level. The assessment looks for places where a sub-master is a real convenience, such as a department, a floor, or a set of storage rooms used by the same small team, rather than adding levels for their own sake. A hierarchy with more levels than the business actually uses is harder to manage and easier to get wrong later, so this stage is as much about deciding what not to build as it is about what to include, before any pins are cut or any key blanks are ordered.

    Handling a lost key discovered mid-project

    If a key turns up missing or unaccounted for while the assessment is underway, the affected level is dealt with before the rest of the design continues: the doors that key can reach are identified from existing records or, where none exist, from a physical walk of the property, and those cylinders are prioritized for repinning ahead of the rest of the schedule. Folding this into the same visit avoids a second project later to close a gap that was already known about.

    A building that finally matches its own org chart

    The most visible change is often the simplest one: the level of key someone carries now matches the role they actually hold, instead of matching whatever happened to be handed down or copied over the years. Walking the building afterward, each door answers to keys that were deliberately assigned to it, and the chart in the office explains every one of those decisions to anyone who asks about it.

How do you decide how many sub-master levels a business actually needs?

The number follows the organization, not a preference for tidy diagrams. Genuinely distinct groups, such as separate departments or floors with different access needs, each justify a level; access differences that exist only on paper usually do not. A hierarchy with more levels than the business uses in practice is harder to administer without making anyone's day-to-day access meaningfully better.

What happens if a department splits or a business reorganizes?

The existing chart is the starting point rather than a blank page. Doors that move to a new department are reassigned within the existing hierarchy where the cylinders and platform allow it, and only the affected levels are touched. A reorganization is usually an adjustment to the record, not a reason to rebuild the whole system from the ground up.

What records should I keep once the system is installed?

The keying chart itself, a log of which key or fob was issued to which person or role, and receipts signed when keys change hands. Together these let the business answer, at any point, who currently holds which level and when it was issued, rather than relying on memory once the locksmith who built the system is no longer involved.
